Subject: Formal complaint regarding Hannah
Dear Manager,
I am writing to formally complain about a phone call I had earlier this week with one of your staff members, Hannah.
I rang to seek assistance with an issue that should have been relatively straightforward, however the way I was spoken to was completely unacceptable. From the outset, Hannah was abrupt, dismissive, and gave the clear impression that she did not want to help.
When I tried to explain my situation, I was repeatedly cut off and spoken to in a condescending tone. Rather than listening, Hannah simply repeated “that’s the policy” and made it clear that no alternative would be considered. At no point did she attempt to understand the issue from my perspective or show any willingness to assist.
What I found most disappointing was her attitude. She sounded irritated, impatient, and borderline rude, as though my call was an inconvenience. When I questioned the outcome, she became even colder and essentially shut the conversation down.
I work in a customer-facing role myself, and I would never speak to a client the way Hannah spoke to me. Regardless of policy, there is no excuse for being dismissive or unprofessional.
I hope this matter is taken seriously. Customer service is about more than quoting rules — it’s about respect. Based on this interaction, I am very reluctant to deal with your company again.
I would appreciate a follow-up to let me know how this complaint will be addressed.
Kind regards,
Daniel Henderson
